Victory Classes ("Victory Classes", "we", "us" or "our") is a coaching institute based in Haridwar, Uttarakhand, offering school academics (Class 4–12 and repeaters), IIT-JEE & NEET preparation, a chess academy and a spoken-English programme, along with a student portal at portal.victoryclasses.com and this website, victoryclasses.com.
This Privacy Policy explains what information we collect from our students and their parents/guardians, how we use it, and the steps we take to keep it safe. Please read it before enrolling or using our portal. By enrolling with us, or by using our portal or website, you agree to this Privacy Policy. If you do not agree, please do not use these services.
1. Information we collect
We only collect information that we genuinely need to run the institute and serve our students well. Depending on the service, this may include:
- Student details: name, class/batch, date of birth, gender, blood group and photograph (used for records and ID cards).
- Parent/guardian contact details: father's and/or mother's name and mobile number, and your email address, so we can share updates, fee reminders and results.
- Address and, where required for admission records, a copy of an identity document (such as Aadhaar).
- Academic & attendance information: attendance, test marks, assignments and progress recorded as part of teaching.
- Fee & payment records: fees charged, amounts received, payment mode and receipts. We do not store your card numbers, UPI PINs or bank passwords.
- Portal login information: the email/username used to sign in. Passwords are stored only in a scrambled (hashed) form and cannot be read by us.
- Basic technical information when you use the website or portal, such as your device type and general usage, to keep the service working and secure.
Fields marked as required at admission are needed to provide the service; other fields are optional.
2. How we use your information
- To process admissions and maintain student records.
- To teach, and to track attendance, tests, assignments and academic progress.
- To manage fees, issue receipts and send fee reminders.
- To communicate with you — by WhatsApp, SMS, phone call or email — about classes, timetable, holidays, results, events and important notices.
- To create student ID cards and certificates.
- To keep our students, staff and premises safe, and to run and improve our services.
- Occasionally, to inform you about new courses, offers or events. You can opt out of these promotional messages at any time (see section 7).
3. How we store and protect your information
Your data is stored securely using Google Firebase (a Google Cloud service) and on our own devices. We take the protection of your information seriously:
- Access to sensitive information (such as identity documents, salaries and full financial records) is restricted to the administrator/owner only.
- Our front-office staff can see only what they need for their work (for example, fee dues and contact numbers to collect fees) — not the institute's full records.
- Login passwords are stored only as a scrambled (hashed) value and are never visible to us in plain text.
- Our systems are protected by logins, and connections to the portal and website use secure HTTPS encryption.
No system can be guaranteed 100% secure, but we follow reasonable, industry-standard practices to protect your information.
4. Sharing of information
We do not sell, rent or trade your personal information to anyone for their marketing. We share information only in these limited situations:
- Our own teachers and staff, strictly on a need-to-know basis, to teach and serve your child.
- Trusted service providers who help us run the institute — for example, Google Firebase for secure data storage, or a messaging/SMS provider — and only to perform that service.
- When required by law, or to protect the rights, safety and property of our students, staff or the institute.
5. Photographs and achievements
We may feature a student's name, class, marks/achievement and photograph on our website, social media, notice boards or promotional material to celebrate results and toppers. If you would prefer that your child's name or photograph not be used in this way, simply inform the office and we will respect your request.
6. Cookies & this website
Our student portal uses a secure login. This website uses only the minimal cookies/storage needed to remember your preferences (such as your chosen language) and to function properly. You can control cookies through your browser settings; some features may not work if they are disabled.
7. Your choices
- Update or correct your details — contact the office and we will update your record.
- Opt out of promotional messages — tell the office and we will stop sending non-essential promotional messages (you will still receive essential notices such as fee reminders and results while enrolled).
- Request deletion — you may ask us to remove your personal records after you leave the institute, subject to any records we are required to keep by law.
8. Children's information & parental consent
Most of our students are minors. Information about a student is provided and managed with the consent of their parent or guardian. By enrolling a child, the parent/guardian consents to this Privacy Policy on the child's behalf.
9. Changes to this policy
We may update this Privacy Policy from time to time. The latest version will always be available on this page with its updated date. Please review it occasionally.
